Terms of Service

These Terms of Service ("Terms") constitute a legally binding agreement between you ("User," "you," or "your") and Sideline Notes ("Company," "we," "us," or "our") governing your access to and use of the Sideline Notes web application and related services (collectively, the "Service").

By creating an account, accessing, or using the Service in any way, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy, which is incorporated herein by reference.

Sideline Notes is a web-based documentation tool designed to assist athletic trainers, manual therapists, sports medicine physicians, and other healthcare professionals in generating clinical notes, injury reports, and communication updates using AI-assisted text generation.

The Service includes features such as:

• AI-assisted generation of SOAP notes, Quick Notes, and Coach Reports
• Voice-to-text and text input capabilities
• Copy, download, and share functionality
• Note history and documentation management (paid tiers)
• Mobile-optimized interface for use in clinical and field environments

We reserve the right to modify, suspend, or discontinue any part of the Service at any time with or without notice.

You must be at least 18 years of age to use Sideline Notes. By using the Service, you represent and warrant that you are at least 18 years old and have the legal capacity to enter into these Terms.

Sideline Notes is intended for use by licensed or credentialed healthcare professionals, athletic trainers, and sports medicine personnel. By using the Service, you represent that you have the appropriate qualifications and professional judgment to use AI-assisted documentation tools responsibly in your practice.

To access certain features of the Service, you must register for an account. You agree to:

• Provide accurate, current, and complete information during registration
• Maintain and promptly update your account information
• Keep your password confidential and not share it with any third party
• Notify us immediately of any unauthorized use of your account
• Accept responsibility for all activities that occur under your account

We reserve the right to suspend or terminate accounts that contain inaccurate information or violate these Terms.

You agree to use Sideline Notes only for lawful purposes and in accordance with these Terms. You agree NOT to:

• Use the Service to generate false, misleading, or fraudulent medical documentation
• Input protected health information (PHI) of patients without appropriate authorization
• Attempt to reverse engineer, decompile, or extract the underlying AI models or algorithms
• Use the Service in any manner that could damage, disable, or impair our infrastructure
• Resell, sublicense, or commercially exploit the Service without written permission
• Violate any applicable laws, regulations, or professional licensing requirements
• Use automated scripts or bots to access the Service without prior written consent

The Service and its entire contents, features, and functionality — including but not limited to the software, source code, design, text, graphics, user interface, AI models, and documentation templates — are owned by Sideline Notes and are protected by United States and international copyright, trademark, patent, trade secret, and other intellectual property laws.

The "Sideline Notes" name, logo, and all related marks are trademarks of the Company. You may not use our trademarks without prior written permission.

We grant you a limited, non-exclusive, non-transferable, revocable license to access and use the Service solely for your own professional documentation purposes in accordance with these Terms.

You retain ownership of any clinical information, notes, or data you input into the Service ("User Content"). By submitting User Content, you grant Sideline Notes a limited license to process that content solely for the purpose of providing the Service to you.

You represent and warrant that:

• You have all necessary rights to submit the User Content
• Your User Content does not violate any applicable laws or regulations
• You are responsible for ensuring any patient information is appropriately de-identified or handled in compliance with applicable privacy laws before inputting it into the Service

We do not claim ownership of AI-generated output produced through your use of the Service. The generated notes and documentation are provided for your professional use.

IMPORTANT: Sideline Notes is a documentation assistance tool only. It does not provide medical advice, diagnosis, or treatment recommendations. All clinical decisions remain solely the responsibility of the licensed professional using the Service.

AI-generated notes are drafts intended to assist your documentation workflow. You are solely responsible for reviewing, editing, and ensuring the accuracy of any documentation generated by the Service before it is used in any clinical, legal, or administrative context.

Sideline Notes is not a certified Electronic Medical Record (EMR) system and should not be used as the sole or primary record-keeping system for patient care without appropriate professional review and judgment.

Certain features of the Service require a paid subscription. By subscribing, you agree to pay all fees associated with your chosen plan. Current pricing is listed on our website and is subject to change with notice.

Subscriptions automatically renew unless cancelled before the renewal date. You may cancel your subscription at any time through your account settings. Refunds are not provided for partial billing periods unless required by applicable law.

Founding rate subscribers who maintain continuous active subscriptions will retain their locked-in pricing as described at the time of enrollment.

We may suspend or terminate your access to the Service at any time, with or without cause, with or without notice, for conduct that we believe violates these Terms or is harmful to other users, us, third parties, or the integrity of the Service.

You may terminate your account at any time by contacting us at support@sidelinenotesapp.com. Upon termination, your right to use the Service will immediately cease.

To the fullest extent permitted by applicable law, Sideline Notes and its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or goodwill, arising out of or in connection with your use of the Service.

Our total cumulative liability to you for any claims arising from or related to these Terms or the Service shall not exceed the greater of (a) the amount you paid us in the twelve months preceding the claim, or (b) one hundred dollars ($100).

The Service is provided on an "as is" and "as available" basis without warranties of any kind, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, or non-infringement.

We do not warrant that the Service will be uninterrupted, error-free, or completely secure. We do not guarantee the accuracy, completeness, or usefulness of any AI-generated content produced by the Service.

These Terms shall be governed by and construed in accordance with the laws of the United States and the state in which Sideline Notes is incorporated, without regard to its conflict of law provisions.

Any disputes arising under these Terms shall be resolved through binding arbitration in accordance with the rules of the American Arbitration Association, except that either party may seek injunctive relief in a court of competent jurisdiction.

We reserve the right to modify these Terms at any time. We will provide notice of material changes by updating the "Last updated" date at the top of this page and, where appropriate, by sending an email to registered users.

Your continued use of the Service after any changes constitutes your acceptance of the new Terms.
